Cancelation Policy

Full refund for cancellations made within 24 hours of booking or before deposit payment, if the check-in date is at least 14 days away.

50% refund for cancellations made at least 7 days before check-in.

No refunds for cancellations made within 7 days of check-in.

(An administration fee of 10% of the total payment made will be charged for any refunds provided).

Cleaning Policy

If you use any items owned by Carolyn's Cove, wash them, clean them and put them away. This applies to kitchen appliances/utensils, BBQ's, stoves, ovens, cook tops, fridge and microwaves.

We expect our guests to tidy up before they leave, including gathering garbage and recycling items (as mentioned on our check out list).

If we have to clean these items after you leave we charge $50/hour towards the credit card that you have on file with us.

Confirmed Reservations

Reservation requests are only converted into a confirmed reservation once the first payment has been made in full. All payments must be paid when due to continue to hold a reservation. The person making the reservation will be responsible to ensuring that all payments are made by the due date (email reminder notices will be sent to the reservation email). Carolyn's Cove and it's owners are not responsible for collecting or ensuring that payments are made in order to continue to hold a reservation for a guest. If a reservation is not paid in full on the due dates then the reservation will be deemed to be cancelled by the registered guest. Once cancelled, the reservation no longer exists.

Registered Guest(s)

Only REGISTERED guests are permitted to be on the property and to use amenities owned and provided by Carolyn’s Cove. Unregistered guests found on the property will be asked to leave immediately, and further, registered guests found to be in contravention of this agreement may be asked to leave immediately with no refund of the reservation. The extra guest nightly rate is charged for all guests over the age of  two years (2) that require a separate bed.

Check-in & Check-out Times

Check-in is between the hours of 4pm and 8pm on the first reservation day. Check-out is 11am on the last day of the reservation. Absolutely no check-ins will be accepted after 8pm on the check-in date, and all check-outs must be before 11am.

Damage Policy

The person making and paying for the rental of the accommodation is financially responsible for the cost of repairs arising from any damage beyond normal wear and tear including but not limited to carpet/floor stains, interior wall damage, appliance repairs arising from improper use, window and window covering damage, permanent linen stains, dry cleaning costs associated with stains, breakage, theft and any other damage noted on departure incurred, sustained or brought by any person occupying or using the accommodation. Any theft, lost items, excessive wear and tear, or damage will be charged to the reservation holder. As the reservation holder you are agreeing to be the person financially responsible for the rental, and any costs incurred by you or your guests and give Carolyn's Cove full authority to charge the Credit Card number given at time of booking. Carolyn's Cove has the right to charge your credit card in advance of repairs being completed and will refund the difference once any of the listed reasons above as been completed. 

Keys

You are required to return all sets of keys by leaving them with the owners or in the room upon checkout. There will be a $25 charge to replace any lost keys. You agree to have this charged to the credit card on file at the time the reservation is made.

Septic System

ONLY human waste and the toilet paper provided are to be flushed. No wipes of any kind are to be flushed. No food scraps or other items are to be washed down the sinks. Drain filters in the showers and tubs are to be used at all times to protect the system from hair and other foreign objects. Violation of this house rule may subject the registered guest(s) to additional charges.

Smoking

For your health and enjoyment, all accommodations are non-smoking. "Smoking" includes cigarettes, vaping, cannabis, and other paraphernalia, including rolling/preparation. A Smoking Fine will be charged to your credit card if you smoke inside or outside the accommodation. You may smoke in the designated smoking area, but you are responsible for disposing of your stub. IF we find that you or any member of your group has been smoking anything outside the designated smoking area, or if you refuse to dispose of stubs appropriately, you will be asked to leave the premises immediately with no refund.

Hot Tubs

The use of the hot tub(s) provided on the property is at your own risk. The hot tub(s) is checked on your arrival day and your departure day to inspect the condition. Absolutely NO food or drink is allowed in or around the hot tub. Please be sure to rinse off in the shower before using the hot tub to remove lotions and body oils. All clothing used in the hot tub must be clean. Any clothing used in the ocean is to be rinsed before use in the hot tub, separate swimwear is recommended. If the hot tub is required to be drained during your stay or on your departure day due to misuse, or for any reason whereby Carolyn's Cove feels the cleanliness of the hot tub is not up to standard for its next check-in, you will be charged to drain, clean and refill the hot tub. Further, you are financially responsible for any damage to the hot tub including repair and/or damaged or missing parts due to misuse. Only registered guests over the age of 13 (thirteen) are permitted to use the hot tub(s).

Quiet Time

Quiet Time on the property is between 11pm to 8am, local time. Any guest(s) not adhering to this policy may be asked to leave with no refund. 

Lost or Missing Items

Carolyn's Cove is not responsible for any personal items lost during your stay, or left behind on departure. We will hold items for 2 weeks after departure. Items left behind will, upon request, be returned by mail COD or by other means as requested for the cost associated with returning the item, as well as a $10 handling fee.

Limitation of Liability

Carolyn's Cove will make every effort to ensure that the accommodation provided as described for the time reserved, or to provide alternate equivalent accommodation. Carolyn's Cove can not guarantee that the accommodation will be available as reserved, as there are matters beyond its control including but not limited to loss of the accommodation by fire, flood, earthquake, tsunami, or other damage, changes of ownership, changes in the law, or seizure or other loss of the accommodation property. Beyond a refund of all the payments made, Carolyn's Cove and its owners assumes no responsibility or liability arising out of the accommodation not being available or suitable. Carolyn's Cove and its owners assumes no responsibility or liability for injury or damage arising out of the use or occupation of the accommodation. In agreeing to the terms and conditions within this agreement you are hereby removing Carolyn’s Cove and it’s owners of any liabilities resulting from any amenities/liabilities such as tubs, hot tubs, decks, slippery surfaces, beach front accommodations, ice and fire pit. Please use tubs, hot tubs, beaches, BBQs and fire pit at your own risk, and please ensure children of all ages are closely monitored at all times. Carolyn's Cove reserves the right to cancel bookings for reasons beyond our control. Such as but not limited to, damage to the property or premises, floods, earthquakes or other natural disasters/events. Please note refunds will not be given for bad weather.

Relocation

Carolyn's Cove reserves the right to transfer a guest(s) stay to an alternative equivalent accommodation on the property. In the event there is no accommodation available we will refund the reservation holder for their reservation. We are not responsible for any travel costs associated to the termination of a reservation.

Acceptance of Rental Terms

By proceeding with a rental of accommodation provided you are acknowledging that you have read, understood, accept and agree to the rental policies. Further, that you agree to pay the accommodation costs and associated fees, and you agree to the limitation of Carolyn's Cove and its owners liability. In carrying forward you are hereby agreeing to all terms/policies and conditions and procedures in this reservation contract.
